Single-operator mode

Reepli is designed for solopreneurs and small businesses: one dashboard, one WhatsApp Business number, one human operator who supervises the assistant. This article explains what that means in practice, how to coexist with your WhatsApp Business mobile app, and what's planned for multi-user.

Why does this page exist?

Many competing products have an "Invite your team" feature; early users naturally look for this page. So as not to break external links or Google search, we keep the URL and honestly explain what Reepli offers instead.

Reepli is a single-operator product

In practice:

  • One account = one operator. You are the only person who logs in to the dashboard and sees the conversations.
  • No roles (administrator, supervisor, agent, etc.) — there is only one type of user, you.
  • No automatic distribution (round-robin, queues, assigned team). The assistant replies; when intervention is needed, you take over.
  • No email invitations to other collaborators.

This constraint is deliberate: it keeps the product simple and quick to get to grips with for the target audience — a solopreneur who wants a WhatsApp assistant that works, not a platform to configure for three weeks.

The AI assistant is your "team"

In most competing tools, you invite a team because you need multiple humans to absorb the message volume. With Reepli, the assistant replies on your behalf for the essentials:

  • First contact and qualification.
  • Automatic appointment booking with your calendar.
  • D-1 and H-2 reminders.
  • Answers to frequently asked questions (FAQ).
  • Quote follow-ups, post-service follow-ups, review requests.

You only step in for:

  • Sensitive conversations, where the customer needs a real human answer.
  • Cases the assistant can't handle and escalates to you.
  • Sales decisions (approving a quote, non-standard pricing, exceptions to rules).

It's this balance that lets a solopreneur handle a WhatsApp volume that would normally require several people.

Coexistence with your WhatsApp Business mobile app

Many of our users keep using their WhatsApp Business mobile app on their phone — alongside the Reepli dashboard. Meta allows this way of working, called coexistence, and Reepli takes full advantage of it.

How it works

  • Incoming messages: they arrive both on your phone (via the mobile app) and in Reepli's Messages page. The assistant sees them and can reply.
  • Your replies from the dashboard: visible everywhere (customer's phone, your mobile app, Reepli) — this is the standard usage.
  • Your replies typed on the mobile app: Meta forwards them to Reepli too. They appear in your dashboard (on the outbound side, sender mobile) — the conversation stays consistent on the dashboard side.
  • Automatic pause of the assistant: as soon as Reepli detects human intervention on a thread (from the dashboard or from your mobile app), the assistant pauses on that thread so it doesn't get in your way. You stay in control until you explicitly hand the conversation back to the assistant.

When to use what?

You have nothing to reproduce manually: what you type on your phone ends up in Reepli automatically, and vice versa. The dashboard is always the single source of truth for history.

Setup

None. Coexistence is enabled by default as soon as you connect your number via Meta and keep your WhatsApp Business mobile app installed. No setting is required, either on the Reepli side or on the phone.

For the details of this integration, see Connect WhatsApp Business.

Security of a single-operator account

Since you're the only person who logs in, it's important to:

  • Not share your Reepli password, even with a partner. If several people need access, contact us: we explore solutions on a case-by-case basis for Business accounts.
  • Choose a long, unique password — use a password manager.
  • Keep your Reepli email address secure — it's the one used to reset the password.
  • Set up two-factor authentication on your email address (on the Google, Microsoft or other side) to prevent indirect account takeover.

What about multi-user?

The Business plan (€299/month) mentions "Multi-user" in its sales arguments. This feature is planned in the catalog but is not yet available in the interface. In practice:

  • As of today, even a Business account doesn't let you invite other users.
  • This feature is on the roadmap and will be opened first to existing Business customers, at no extra cost.
  • When it arrives, it will let you open the dashboard to one or more additional collaborators, most likely with lightweight roles.

If you have a specific need to share access today, email us at [email protected]. Depending on your case, we can offer interim solutions.

No timeline promise

We prefer not to promise a specific date for multi-user. This page will be updated the day the feature becomes available — subscribe to the Reepli newsletter to stay informed.

What to do if there are several of you today?

While waiting for multi-user, here are the options:

Option 1 — You stay the only Reepli operator, your colleagues use the mobile app

This is the simplest option. Everyone can type in the WhatsApp Business mobile app installed on a shared phone (or their own phone if the app allows it). Reepli syncs the history on the dashboard side, and you keep the big picture.

Option 2 — You share the WhatsApp Business mobile app

The WhatsApp Business mobile app now supports up to 5 linked devices per number. Several colleagues can have the app installed on their phone, linked to the same number. Reepli reflects all their messages in the Messages page.

Option 3 — You wait for Reepli's multi-user

If most of the conversational work has to be done from the dashboard (and not from the phone), this is the cleanest option. Let us know so we can notify you first.

Next steps

  1. Dashboard overview — Master the main sections.
  2. Activate your assistant — If you haven't already.
  3. Configure the assistant — So it covers as many cases as possible and limits your interventions.
